ClockArt projects, client portal and AI assistant

In addition to our Shopify storefront, we operate project-management, client-portal and AI-assisted enquiry services using separate systems and service providers.

Project and portal information. We process contact details, project briefs, uploaded files and documents, feedback, approvals, tasks, meeting information, payment records and submitted receipts. We use this information to manage enquiries, deliver projects, verify payments, administer file access and communicate with clients. Portal authentication and activity records also support access control and security.

AI conversations. Messages submitted to ClockArt’s AI assistant are processed through an external AI service to generate responses and help prepare enquiries, project briefs and meeting requests. Conversations and information supplied during them may be stored in our customer relationship management system for follow-up and project administration. Please avoid submitting passwords, full payment-card details or sensitive information that is unnecessary for your enquiry.

Meetings and notifications. We process booking details and contact information to arrange meetings and send service updates. Connected calendar, email and device-notification providers may process the information needed to provide these functions. Device alerts also involve notification preferences and device or browser identifiers.

People and providers involved in delivery. Relevant project information may be shared with freelancers and subcontractors working on your project. These collaborators agree to confidentiality commitments. We also use providers for hosting, databases, private file storage, AI processing, email, calendars and notifications. These systems are separate from Shopify and may process information outside your country.

Portfolio and publicity

For projects whose signed proposal or contract includes ClockArt’s portfolio clause, we may display the client’s name, logo and publicly released final work in our portfolio, website, social media and presentations, unless the client opts out in writing before publication.

This permission excludes unreleased work, confidential information, private project communications and payment records. Behind-the-scenes material featuring identifiable people requires appropriate permissions. This policy does not itself establish permission under earlier contracts.

Clients may withdraw permission for future portfolio and publicity use by emailing clockartpro@gmail.com. We will stop new promotional use and remove affected material from channels we control within 30 days of receiving the request. Any copies that must be retained for legal purposes will not be used for publicity. Previously distributed printed materials and third-party reposts may remain outside our control.

Project-file access and retention

For final deliveries covered by our managed download-window system, the 30-day download period starts when full payment for the relevant work item is verified and the final delivery becomes available. A later qualifying final version may extend that work item’s deadline. The portal displays the applicable deadline.

The download deadline controls client access; it does not mean that every copy or associated record is deleted on that date. Older files and other file categories may follow different retention settings.

Our standard retention period for raw footage and internal production files held on local or external drives is 180 days after project completion or cancellation, unless a different arrangement or a legal preservation requirement applies. This retention process is managed manually, separately from portal download access.

We currently have no fixed deletion schedule for AI conversations, unsuccessful enquiries or payment receipts. Their retention depends on continuing service and business needs, legal obligations, disputes and recordkeeping requirements. The 30-day download period and 180-day production-file period do not apply to these records.

For privacy enquiries, access, correction or deletion requests, or portfolio-removal requests, contact clockartpro@gmail.com. Deletion requests are considered subject to applicable rights and any valid grounds requiring continued retention.

Should you have any questions about our privacy practices or this Privacy Policy, or if you would like to exercise any of the rights available to you, please call +961 70 569 001 or email us at clockartpro@gmail.com or contact us at zaidanieh, ebn el rochod street, yassine building, -1, Beirut 0000, Lebanon.
